Cancellation & Refund Policy

26th APAPU Annual Congress — 18–20 September 2026, Istanbul

This policy is issued by İkonik İstanbul Kongre Organizasyon Eğitim ve Danışmanlık Ltd. Şti. (hereinafter "the Organiser"), the entity responsible for managing registrations and payments for the 26th APAPU Annual Congress.

1. Registration Cancellation

Cancellation requests must be submitted in writing via e-mail to info@ceamice.com from the e-mail address used during registration. The following refund schedule applies based on the date the written request is received:

2. Accommodation Cancellation

Accommodation packages included in the registration are subject to the same cancellation schedule above. Partial cancellation (cancelling accommodation only while keeping the congress registration) is permitted; the accommodation portion will be refunded according to the schedule. Accommodation-only cancellations must also be received in writing before the applicable deadline.

3. Name Changes & Substitution

Registered participants may transfer their registration to another person by notifying the organiser at info@ceamice.com no later than 18 August 2026. Name changes are free of charge. The substitute participant must complete a new registration form.

4. Refund Method

• Credit / debit card payments: Refunds are processed to the original card used for payment. The refund will appear on your statement within 5–10 business days depending on your issuing bank.
• Bank transfer payments: Refunds are made to the bank account specified by the participant. Processing takes up to 14 business days from the approval date.

Bank transaction fees, SWIFT charges, and currency conversion differences (if any) are borne by the participant and will be deducted from the refund amount. Refunds are processed in the original currency of payment (USD or EUR).

5. Congress Cancellation by Organiser (Force Majeure)

In the event that the congress is cancelled entirely by the organiser due to force majeure (including but not limited to pandemic, natural disaster, war, or government order) or other unforeseen circumstances, all registration and accommodation fees will be refunded in full. The organiser shall not be liable for any ancillary expenses such as travel, visa, insurance, or third-party accommodation costs.

6. Programme Changes

The organiser reserves the right to make changes to the scientific programme, speakers, or schedule. Such changes do not constitute grounds for a refund provided the essential nature of the congress is preserved.

Bu politika, 26. APAPU Yıllık Kongresi kayıt ve ödeme işlemlerini yürüten İkonik İstanbul Kongre Organizasyon Eğitim ve Danışmanlık Ltd. Şti. (bundan böyle "Organizatör") tarafından düzenlenmiştir.

1. Kayıt İptali

İptal talepleri, kayıt sırasında kullanılan e-posta adresinden info@ceamice.com adresine yazılı olarak iletilmelidir. Aşağıdaki iade takvimi, yazılı talebin ulaştığı tarihe göre uygulanır:

2. Konaklama İptali

Kayıt kapsamındaki konaklama paketleri yukarıdaki aynı iade takvimine tabidir. Sadece konaklama iptali (kongre kaydını koruyarak) mümkündür; konaklama bedeli takvime göre iade edilir.

3. İsim Değişikliği ve Devir

Katılımcılar, en geç 18 Ağustos 2026 tarihine kadar info@ceamice.com adresine bildirimde bulunarak kaydını başka bir kişiye devredebilir. İsim değişikliği ücretsizdir. Devralan kişi yeni bir kayıt formu doldurmalıdır.

4. İade Yöntemi

• Kredi / banka kartı ödemeleri: İade, ödemenin yapıldığı karta gerçekleştirilir. Bankaya bağlı olarak 5–10 iş günü içinde hesaba yansır.
• Banka havalesi ödemeleri: İade, katılımcının belirteceği banka hesabına yapılır. Onay tarihinden itibaren 14 iş günü içinde işleme alınır.

Banka işlem masrafları, SWIFT ücretleri ve kur farkları (varsa) katılımcıya ait olup iade tutarından düşülür. İadeler ödeme para birimi (USD veya EUR) üzerinden yapılır.

5. Organizatör Tarafından İptal (Mücbir Sebep)

Kongrenin mücbir sebepler (salgın hastalık, doğal afet, savaş, hükümet kararı vb.) nedeniyle tamamen iptal edilmesi durumunda tüm kayıt ve konaklama ücretleri eksiksiz iade edilir. Organizatör, seyahat, vize, sigorta veya üçüncü taraf konaklama gibi ek masraflardan sorumlu değildir.

6. Program Değişiklikleri

Organizatör, bilimsel program, konuşmacılar veya zaman çizelgesinde değişiklik yapma hakkını saklı tutar. Bu tür değişiklikler, kongrenin temel niteliği korunduğu sürece iade gerekçesi oluşturmaz.
